Internet fax

Give your company advanced online fax functionality with RingCentralā€™s internet fax service. Send and receive faxes securely and easily from anywhere, on any device.

What is internet fax?

Internet fax is the functionality that enables big and small businesses to send and receive faxes online.

Back in the days before the internet, a heavy bulk of information and paperwork used to be sent through dedicated fax machines. Todayā€™s business environment has adapted to a faster, more efficient way to share dataā€”taking advantage of internet connectivity to do so.

Unlike traditional faxing, online faxing utilizes your computers, laptops, or mobile devices to transmit documents. You donā€™t even need a telephone lineā€”just a robust internet connection, a suitable device, and the right software.

This allows businesses to send faxes from anywhere. Itā€™s ideal now that more firms operate entirely remotely, as you may not have a brick-and-mortar premises (and youā€™re hardly going to equip every remote employee with their own fax machine!)

It also means you donā€™t have the hassle of maintaining a fax machine, refilling it with toner, and dealing with annoying paper jams. Sending a fax through the internet is simply faster and more convenient for both the sender and the recipient. (Itā€™s better for the environment, too!)

When youā€™re faxing by internet, your documents can remain digital throughout the process. Thereā€™s no need to print them out for sendingā€”if itā€™s already a hard copy, just scan it into your device. If the recipient also has an online fax account, the document will arrive as a PDF file. (If not, you can still send it to their fax machine.)

As a trusted internet fax service provider, RingCentral is your partner in making sure all your faxing needs are met. From previewing faxes and designing custom cover sheets to keeping private information secure and email inboxes organized, we offer the complete range of functionality youā€™re looking for in an online faxing service.

Benefits of internet faxing with RingCentral

Always available

Because all incoming faxes are managed in the online service, youā€™ll never miss an important message.

This also means senders never get a busy signal, even if youā€™re on the phone or receiving a fax transmission. (And your callers can still get through, too, as internet faxing doesnā€™t tie up the phone line.)

Works with various devices

Send internet fax online using either RingCentral for Desktop or the mobile app, or directly from your email.

You can also attach docs from your computer or from a cloud storage service (Box, Dropboxā„¢, Google Driveā„¢) and send a fax directly using FaxOut.

Low-cost option

Eliminate costly hardware and dedicated phone lines when you switch to eFax. If you already have an old fax machine and you want to keep it, you can connect it to your RingCentral service with an analog adapter.

Additionally, you can choose local or toll-free fax numbers for sending and receiving faxes from around the world.

Maximum control and security

Transmit faxes securely over an encrypted internet connection and store incoming faxes in a password-protected online account.
Plus, fax to groups, block faxes without caller ID, specify a different email and text values for each type of notification, and take advantage of many more functions.

Unified RingCentral phone number

Every extension can take faxes as well as voice calls, so thereā€™s no need for a separate internet fax number (that means a single number for your clients and staff to remember).
You'll still receive your fax messages even if youā€™re on the phone. Plus, all incoming faxes are stored securely in your account and can be delivered as email attachments.

Advanced fax features

RingCentral gives you exciting additional functionalities. Such as, sending faxes to multiple recipients, attaching files from your cloud storage service, fax scheduling, designing custom cover pages, getting instant notifications by text message or email, and more.

FAQs about RingCentralā€™s online fax service

Once you have a RingCentral account, you will be given a fax phone number. Your contacts can use this to send you a fax, either over the internet or from a traditional fax machine.

You also have the option to purchase a toll-free or vanity number from RingCentral. You can use this for voice calls and SMS/MMS messaging as well as for sending and receiving faxes.
With RingCentral internet fax, you can send faxes to any online or physical fax machine within the country or overseas (yes, that means international faxes!).
Once you become a subscriber, a RingCentral fax icon will appear within your WindowsĀ® applicationsā€”such as Outlook, Word, etc. These documents will be converted to PDF files so that you can send them to any fax machine with a local or international number.
Download and install RingCentral for Desktop, free of charge. Windows users can also benefit from the integration between Microsoft Outlook and RingCentral for Desktop, which enables you to send a secure online fax within Outlook.
If youā€™re using RingCentral for Desktop, hereā€™s what you need:
  • On Windows, integrated fax requires Windows 7.0 or later, Pentium or above processor (or compatible processor), a minimum of 1 GB of memory, and 300 MB of hard drive space.
  • On Mac, integrated fax requires Mac OS Ā® 10.10 or later, an Intel processor, 1 GB of memory, and 300 MB of hard drive space.
You can also use internet fax via the RingCentral mobile app, which is available for Android and iPhone devices.
Regulated industries such as government, finance, and healthcare have always preferred fax for transmitting sensitive documents, because itā€™s more secure than email or post. But with traditional fax machines, transmissions via phone lines arenā€™t encryptedā€”and when the fax is printed out, an unauthorized person could walk by and pick it up.

Trustworthy internet faxing services have security protocols built in. For example, RingCentral sends faxes securely over an encrypted connection (TLS) and lets you store them in a password-protected account. You can also customize your personal security controls.
RingCentral internet fax lets you block junk faxes as easily as you block junk email, saving you time and printing costs.
Your RingCentral phone number can be used for both fax and voice with VoIP capabilities, along with sophisticated business-value features and flexible communications options. Itā€™s much easier to have a single number for all your communications.
In your online account, you can create ā€œgroupsā€ of contacts. When you receive an internet fax, you can easily share it with an entire group by sending it as a fax (or as an email) from your computer.
