Feeling insecure with a poor event platform

When he joined Black Talon, Marketing Director Gary Piper explains the company was using a standard video conferencing platform to host both its client briefings and its public-facing marketing webinars.
“The platform limited what we could do with our virtual events,” Gary says. “Our speakers could share screens, but that was about it. The event looked pretty much like any recorded video meeting. We were also limited in what we could do with exporting the data into HubSpot, so that created a lot of manual work after these events. We were ramping up our lead-generation efforts, so we wanted something more sophisticated to produce our virtual events.”
Fortunately, Gary adds, he logged into another company’s webinar and discovered RingCentral Events.

Creating a big-event experience without a big budget

Using the RingCentral Events platform, Gary and his team have been able to level up their virtual event game.
“With RingCentral Events, we realized right away that we could elevate our educational webinars above the standard video conference by adding custom branding and engagement tools like polls, chats, and Q&As. And because we can prep, build, and host the entire event on this one intuitive platform, the whole production is much easier and more convenient now for our organizers and speakers.”
The RingCentral Events interface and the backstage tools make everything so easy both for creating events and running them live. This platform is just leaps and bounds over what we had before.

Another big advantage with RingCentral Events, Gary adds, is the long-term value his team is gaining by turning recorded webinars into long-term assets.
With our old events tool, we could record a webinar and post it on YouTube. That’s okay, but you lose most of the visibility into who is watching the recordings. With RingCentral Events, we can see everything that happens even with our older videos—who’s viewing them, how long they stay, and exactly how they engage with the content.

Turning the RingCentral-HubSpot integration into a goldmine

Although Black Talon’s previous events platform integrated into the company’s HubSpot environment, Gary notes that the integration didn’t provide the key workflows he needed. “We got our registration data and some other details from the event tool into HubSpot, but I still had to do a lot of manual work, modeling that data to be HubSpot-friendly and then moving it to the right places.”
Integrating RingCentral Events into HubSpot is helping Gary’s team turn their virtual events data into gold.
“Now we have everything flowing into HubSpot, and I’ve set up some custom object records, so we can easily break out the data however we need it. For example, we have all RingCentral Events registrations coming into the CRM and I’m able to set workflows based on those datapoints to connect other records and make associations between records. We’re also using dynamic lists to auto-send emails for upcoming webinars to help increase attendance.”
The level and granularity of RingCentral Events data we’re able to pull into HubSpot is great. It also means we don’t need to keep going into the RingCentral platform every time we want to monitor things or study the trends over time. All those answers are right there for us in HubSpot.

Developing long-term plans featuring RingCentral

As for the company’s future with RingCentral Events, Gary explains they plan to implement more capabilities as well as leverage the platform to host new and more complex events.
“One thing we’ve wanted to do but only now feel confident about is hosting large, multi-session events,” says Gary. “So we’re going to use RingCentral Events to create educational summits and other events that feature multiple speakers, expo areas, and other opportunities for our sponsors to connect with prospects.”
Gary also plans to roll out more RingCentral Events app integrations, create new HubSpot workflows to benefit from the inflows of RingCentral data, and using RingCentral Events to record a high-quality demo introducing the company’s newest version of its EAGLEi cybersecurity toolset.
Finally, Gary explains, Black Talon plans to leverage the platform for registration of new, onsite events. “We’re going to host small, in-person seminars in regions around the country, and RingCentral Events will be a great tool both for setting up and tracking registration and even for checking attendees in at the live events.”
