The wrong prescription for online events

One of MedInformatix’s most proven methods of acquiring new customers and maintaining strong relationships with the practices already using their software has been hosting onsite events–often featuring a combination of educational content and discussions of the company’s products.
Strategic Account Manager Brittany Larmee explains that as the pandemic broke out in 2020, MedInformatix suddenly faced the challenge of hosting its larger events–including its weeklong annual MedInformatix Summit–entirely online.
“We tried everything as quickly as we could,” Brittany says. “We were already using one platform to manage the schedules and announcements for our in-person events, but that tool couldn’t support hosting the events themselves. We had a couple of other platforms for webinars, but those also fell short of what we needed for a large-scale gathering with a main stage, breakout sessions, expo areas, and other experiences we wanted to recreate.”
With RingCentral Events, we found all of these great features that the other tools we tried didn’t offer. The most immediate benefit we saw, though, was that RingCentral Events made it so easy to repurpose our work, sometimes literally just copying and pasting from a previous event, that creating a new event went from taking many hours to taking just a few minutes.

Brittany says RingCentral Events proved both versatile and flexible, as MedInformatix began to standardize on the platform for all its online events–allowing the company to more efficiently consolidate and eliminate other solutions.
“Events represent a strategic marketing and sales channel for us, and we do a variety of events, from large industry gatherings such as our Radiology Week, to monthly customer-facing updates. What we’ve found, incredibly, is that RingCentral Events is the ideal platform for running all of these events. It’s even better for our webinars than the purpose-built webinar platforms we used to use.”
In fact, Brittany notes, hosting the weeklong Radiology Week on RingCentral Events proved more successful than she had hoped. “Radiology Week was an incredible hit as a virtual event, generating unexpected levels of attendee volume and participation. Our goals for attendee experience are ease of use and engagement, and I think we achieved both of those goals because we used RingCentral Events.”
Since we switched to RingCentral Events, we’ve received overwhelmingly positive attendee feedback. That’s true for our smaller webinars and for our multi-day events with multiple sessions, keynotes, and roundtables. Healthy spikes in engagement and attendance

Brittany notes that since MedInformatix centralized around RingCentral Events, the company has experienced quantifiable increases in key metrics.
“We turned on both the chat and Q&A features at the same time in our virtual events, and we found that attendees overwhelmingly preferred the chat. That led us to remove the Q&A from our sessions altogether, so it would be even clearer for attendees where they should gather to discuss the topic. In fact, because the chat function is so user friendly and almost instantaneously engaging, we’ve seen an increase in participation and interaction of about 32%.”
Brittany attributes these improved metrics both to the platform’s wide variety of features and the flexibility it gives her to get creative with her events. “As an organizer, having the stage mechanism is very powerful, and being able to control the broadcast–almost like you’re a TV producer–that all creates a more engaging experience.”
“Also, whereas the questions and chat features of other platforms feel static and can be laborious for the organizer to manage, RingCentral Events gives us a very dynamic and flexible interactive capability, keeping the attendees interested in participating. We love the ability, for example, to bring the chats onto the main screen.”
Customization also plays a key role, Brittany explains, in helping her team quickly and easily create unique branded events. “So much of the labor in building a virtual event is recreating the content, layout, and other elements every time. RingCentral Events makes it easy to have distinct branding for different events and to visualize options and simply choose the ones we want. Because the dashboard is so easy, I’m able to explore the tools and find more creative ways to build and host these events.” 
Using RingCentral Events has also boosted overall turnout at the company’s monthly customer-facing update sessions–and Brittany has a strong theory about why.
Since we started using RingCentral Events for our customer webinars, the average attendee count is up 10%. The reason, based on anecdotal evidence I’m gathering, is that the platform is so intuitive that attendees are telling their colleagues to join because the value is high and it takes only a second to learn how to navigate the solution.

“As an organizer, the biggest value for me is centralizing management of all our organization’s myriad events in one place. Having to manage all of these different platforms is itself a big challenge, and it also creates problems seeing the bigger picture and turning all of this disconnected data into useful insights for our events efforts as a whole.”

Because we now have all of this in RingCentral Events–which our old solution couldn’t give us–my team and I can really get a sense of what’s on our customers’ minds so we can tailor our content to meet their needs. Also, because RingCentral Events makes preparing and hosting these events so much faster and easier, we have more time to devote to that customization for our attendees.

We use all of our virtual events to help our customers, to give our knowledge away for free. But this platform offers so many ways to produce and edit and broadcast compelling content that I can foresee us using RingCentral Events to develop paid learning opportunities for our industry.
